Business Development Administrative Assistant
Job Description:
Rack & Riddle is seeking a motivated Business Development Administrative Assistant who is a flexible multi-tasker with exceptional customer service, communication, organization, and time management skills. The ideal candidate will be thorough, enthusiastic, adaptable and work well with a team.
To be a successful candidate, you should understand basic office logistics and have proficiency with computers and programs such as Microsoft Office Suite. You must be trustworthy, efficient, self-driven and motivated to learn and embrace challenges. Expect to own the role, generate ideas for efficiencies and assist the entire organization as the face of the company.
Primary Duties:
Customer Service
• Answering and directing phone calls and responding to voicemail
• Managing incoming and outgoing correspondence professionally, including emails, sample pickups and packages
• Filing, organizing, and auditing client account files, compliance files, and other important documentation
• Present positive first impression for all guests, clients, and visitors
Business Development
• Entering sales orders and tasks into NetSuite system for BD sales team
• Set up for tours and tastings for BD team
• Respond to requests for samples – packing out, organizing samples area, entering shipments into NetSuite, creating tech sheets, and setting tasks for salespeople to follow up.
• Send out timely thank you cards and surveys each quarter.
• Learn and then take over and manage client COLA submissions.
• Trade shows and events – maintain trade show collateral and booth supplies. Assist in ordering booth furnishings and logistics, ship booth kits and samples for shows, and other general support to ready the BD team for an event.
• Assist with wine club fulfillment 3 times per year
• Assist BD team in special requests for clients – supplies for testing, wine samples, etc.
• Assist with entering and sending wine to industry competitions
• Update sparkling wine tech data sheets as needed
• Other business development tasks as assigned
General Office Admin
• General filing and organizing digital files on the company server
Education/Experience/Skills Required:
• Minimum 2 years Customer Service experience
• Excellent verbal and written communication skills
• Excellent organizational skills
• Possesses an energetic, outgoing, and friendly demeanor
• Able to professionally and confidently communicate with Business Development Team and Leaders
• Ability to work independently and as an active member of a team
• Computer skills, including Microsoft Office Suite (Word, PowerPoint, Out-look, and Excel)
• Adobe InDesign experience is a plus but not required
• NetSuite experience is a plus but not required

While performing the duties of this job, the employee will be required to sit, operate a computer keyboard, calculator, telephone and other office equipment, read, talk and hear for extended periods of time. Must possess vision, hearing and sufficient digital manipulation skills to utilize a computer keyboard and other office equipment. The employee must be able to occasionally lift and carry up to 50 lb. Overtime is required at certain times of the year. The desk space is located upstairs so the ability to go up and down the stairs frequently throughout the day is required.
