Office Assistant

Rack & Riddle is seeking a motivated Office Assistant who is an excellent multi tasker with exceptional customer service, communication, and time management skills. This position can expect to learn and contribute to Human Resources, Accounting, Business Development and the Executive Management team with data entry, inventory, and other administrative duties. The ideal candidate will be thorough, accurate, enthusiastic, adaptable, and work well with others.

To be a successful Office Assistant, you should understand basic office logistics and proficiency with computers and software, such as MS Office Suite. You should be trustworthy, efficient, self-driven, well organized, motivated to learn and embrace challenges. Expect to own the role, generate ideas for efficiencies and assist the entire organization as the face of the company.

Essentials Duties (including but not limited to):

  • Answering phones, checking and responding to voicemail, and greeting guests according to Rack & Riddle customer service standards
  • Maintain entrance door, lobby, and conference room neatness standards
  • Maintain Conference Room calendar and set up for meetings including preparation of meeting technology as necessary including proper placement and testing of camera feed
  • Office and cleaning supply order processing and inventory management
  • Managing incoming and outgoing correspondence, including emails, sample pickups and packages
  • Mail and package receipt and distribution to mailboxes 
  • Filing and organizing records and other important documentation
  • Scheduling repairs as needed for common areas in facility program 
  • Present positive first impression for all guests, clients, and visitors
  • Update company phone list 
  • Update company informational slides for presentation on intercompany devices
  • Quarterly “Thank you” notes
  • Quarterly surveys
  • Sample shipping
  • Data Entry into ERP system for Business Development and Accounting
  • Receive/file safety trainings
  • Assemble new hire packets
  • Scan invoices
  • Other duties as assigned by HR, Business Development and/or Accounting


  • Proficient in Microsoft Office 
  • Ability and willingness to learn new software.
  • Strong written and verbal communication skills.
  • Organized, accurate and detail oriented.
  • Ability to multitask.
  • Friendly, Team Player.
  • Bilingual a plus!

While performing the duties of this job, the employee will be required to sit, operate a computer keyboard, calculator, telephone and other office equipment, read, talk and hear for extended periods of time. Must possess vision, hearing and sufficient digital manipulation skills to utilize a computer keyboard and other office equipment. The employee must be able to occasionally lift and carry up to 50 lbs. Overtime is required at certain times of the year. The desk space is downstairs, however, ability to go up and down the stairs frequently throughout the day is required.
